Managed IT Services // Asset Lifecycle & Procurement
Best for 10–150 user firms

Order, ship, image, deploy. Then retire it without a trace.

Every laptop, phone, and piece of network gear has a lifecycle: order, deploy, support, refresh, retire. Most firms manage this in a spreadsheet that goes out of date by week two. We run it end-to-end — from purchase order through certified data wipe — and your team gets devices that just work.

What lifecycle chaos looks like.

pain 01

New hire starts Monday — no laptop.

Ordered last Tuesday, somewhere in shipping, nobody's tracking it.

pain 02

Five laptops missing.

The spreadsheet says they were assigned. To whom? Nobody remembers.

pain 03

Termination yesterday. Laptop still has access.

HR didn't tell IT. IT didn't recover the device. Two weeks later, the ex-employee still has VPN.

pain 04

Old hardware sitting in a closet.

Some encrypted, some not. Some with regulated data still on them. Nobody knows what to do with them.

What you get

The full lifecycle.

  • 01

    Standardized device catalog

Three or four approved laptop models, picked for your team's roles. Predictable specs, predictable cost, predictable support.

  • 02

    Procurement

We get quotes from Dell, Lenovo, HP, Apple. Volume discounts. Buy through Senator or directly — your choice.

  • 03

    Pre-deployment imaging

Every laptop arrives pre-configured: company image, software, joined to your domain, encrypted. Ready to use on day 1.

  • 04

    Asset register

Every device tracked: who has it, when it shipped, warranty status, support history, current condition.

  • 05

HR sends us the trigger; we ship and image for joiners, recover and wipe for leavers. Closed-loop, audited monthly.

  • 06

    Refresh planning

3- to 4-year refresh cadence. Budgeted in advance. No more surprise replacement bills.

  • 07

    Certified retirement

Decommission, wipe to NIST 800-88 standard, certificate of destruction, eco-responsible disposal.

Getting started

A new-hire device, end to end.

  1. Day -7

    HR sends the trigger

Name, role, start date, preferred model from the catalog. We confirm same day.

  2. Day -5

    Order placed

Volume-discounted purchase order. Tracking shared with HR and the new hire's manager.

  3. Day -2

    Laptop arrives at Senator

Engineer images it — domain join, encryption, baseline apps, role-specific software, security agents.

  4. Day 0

    Delivered to the new hire

Couriered to the office or to the new hire's home. They turn it on and sign in.

  5. Day 1 morning

    Onboarding call

30 minutes with an engineer — show them around, set up MFA, answer questions. No 'figure it out yourself.'

From a client
Used to be we'd order a laptop, it would arrive 10 days later, the new hire would spend the first week of work setting it up themselves. Senator's process means it's on their desk day one, fully configured. Onboarding got 30% faster.

Who needs this

Who needs this.

  • Firms hiring more than 1 person a month on average.
  • Anyone with regulated data on laptops (lost device = potential breach to disclose).
  • Multi-location firms where devices ship to different cities.
  • Acquirers absorbing devices from a target without an asset register.
FAQ
Q01

Do we have to buy hardware through Senator?

No. You can buy direct from vendors and we handle imaging and tracking. Or buy through us at volume pricing — saves most clients 5–10% on hardware spend.

Q02

What about BYOD — staff using their own laptops?

Possible but adds complexity (and security exposure). We typically recommend a small managed fleet for any role with regulated data access.

Q03

How do you handle a stolen laptop?

Remote wipe via Intune or Jamf within minutes. Full chain-of-custody report for insurance and compliance reporting.

Q04

What happens to old laptops?

Two paths: refurbish + redeploy to a less-demanding role (saves money), or certified destruction + disposal with documentation. We track every serial number through the entire chain.

Next step

Free asset audit.

We inventory your current fleet, identify the missing ones, surface the warranty cliffs, and propose a 3-year refresh plan. One-week engagement, fixed price.
